Choosing the right venue for your wedding is a crucial decision that sets the tone for your special day. It is important to check on a rain plan, ensuring adequate space for changing rooms and assessing the logistics of flipping the space, if needed. Knowing exactly what the venue provides from rentals to food and décor helps with the wedding planning.
The Rain Plan
If you are planning an outdoor ceremony, one of the first things to consider when choosing a wedding venue, is whether if offers a solid rain plan. Unpredictable weather can be a significant factor, so you want to make sure there is an indoor alternative in case of bad weather. This could be a separate indoor space or a covered area that can be quickly set up for the ceremony just in case you need it.
Accommodating Changing Rooms
Having private space for changing rooms for the bride, groom and attendants is essential for a smooth and stress-free wedding day. Ensure that the venue has designated spaces for changing, along with mirrors, seating, appropriate lighting and restrooms.
If your ceremony room needs to be flipped to a reception space
You love the venue but must use the same room for the ceremony and the reception. You will need space to move the guest into for cocktails, while the room is being flipped. What does this mean to your décor set up, music, and lighting in the space? What can stay in place and be repurposed? Will the florist stay to flip the décor? Does the venue flip the space and furniture? Will the baker stay to place the cake? How much time do you need to allow for a cocktail reception, so your guests see this as a seamless transition?
Food – Catering
Discuss the venue’s policies for food and catering. Does the venue provide food, drinks, alcohol or do you need to hire an outside catering company? Who provides the service set up and clean up? If you are planning a Jewish wedding, can the venue/caterer provide Kosher food?
Décor
Clarify the restrictions or options the venue offers in terms of décor. Do they provide accent lighting, tables, chairs, linens? Do candles need to be flameless? You want to make sure your vision for your wedding aligns with the venue’s offerings.
Selecting the best venue for your wedding involves careful consideration to ensure everything will go smoothy and without unexpected surprises. There are many wonderful venues that flip from ceremony to reception quite easily. So be sure to address these key points and you will be well prepared to choose a venue that sets the stage for a memorable and beautiful wedding day.
