As wedding season picks up, it is crucial to understand the importance of the key players in creating a successful, memorable wedding day. Venues, vendors, and wedding planners are all integral parts of the wedding process, and it is important to understand each other’s roles and how we can work together to bring the client’s vision to life.

Venues and Vendors: The wedding vendors and the wedding venue play an imperative role in the wedding planning process. They work together to create the perfect atmosphere for the wedding day. The vendors provide the necessary services, such as catering, photography, flowers, and music, while the venue provides the space and setting for the wedding to take place. Working together as a TEAM can make the process leading up to the wedding day and the wedding day itself a great experience for the clients as well as the venue and all vendors.

Wedding Planners: A wedding planner is responsible for helping to organize the various aspects of a wedding, from selecting the venue to managing the catering, coordinating the music and decorations, and helping to plan the timeline for the day. The venue is the location where the ceremony and reception will take place, and it is the wedding planner’s responsibility to work with the client to find the best venue for their special day. The wedding planner will help to negotiate on behalf of the clients based on the great working relationship built with venues over the years and facilitate and coordinate all the logistics for the wedding day.

You may be asking yourself how can venues, vendors, and planners work together more effectively? Check out my tips below on working together to create a successful and seamless event for the couple!

#1. Establish clear communication: Everyone involved should have a clear understanding of how they will communicate with each other. This could include regular email updates, phone calls, or face-to-face meetings. It is the planner’s responsibility to reach out and introduce themselves if the client has booked the venue or vendors before contracting the planner. Once the venue’s event managers and the vendors know that their clients are working with a planner, it is important that they keep the wedding planner in the loop when corresponding with the clients, so things do not fall between the cracks.

#2. Be clear on responsibilities: There should be a good understanding from the get-go between the planner and the venue or vendors of who is responsible for what. Especially it is important when working with stand-alone venues, which have many operation rules and regulations that are different from a hotel or a country club. This allows everyone to stay organized and on track and would avoid any misunderstanding that could affect the clients and the wedding day.

#3. Share resources: It would be great for wedding professionals to share resources with one another. This could include contacts and other resources that could be beneficial to the event. 

#4. Be flexible: Last, but not least, making a wedding come together takes a lot of teamwork and cooperation! Let’s all be open to working together; if an adjustment needs to be made, let’s be flexible and accommodating to each other so we can find a resolution that works for everyone involved.

As a planner I am not only advocating for my clients, but also advocating with the venue or vendors. Full collaboration with all involved is the key to success!
